Terms of service

The terms on which you use Site Sure

Plain terms for a plain product. They are written to be read, and the version you accept is recorded on your own audit chain.

Version 2026-09-21. This version is the one recorded when an organisation signs up.

1. Who we are and what this is

Site Sure is a fire and building safety record for managing agents, provided by Britannia IT Services ("we", "us"). These terms govern your organisation's use of Site Sure, including the free trial. By creating an organisation you agree to them on its behalf, and you confirm you are entitled to do so.

2. What the service is, and is not

Site Sure records what was done, when, by whom, with what evidence, on a tamper-evident record. It does not carry out fire risk assessments, classify findings or set statutory deadlines; those are the judgement of the fire risk assessor you appoint. Using Site Sure does not by itself discharge any statutory duty, and we do not claim that it does.

3. Your account and your people

Your first administrator creates the organisation and invites everyone else. Every person signs in with their own credentials and, above contractor level, a second factor. Entries are attributed to the person signed in, so accounts must not be shared. You are responsible for who you invite and for removing people who leave.

4. Trial, subscription and price

A new organisation starts a thirty day free trial with no card required. After that, recording continues only on a subscription: £49 a month for an organisation with up to three active sites and £10 a month for each further active site, or a year upfront at ten per cent less, all excluding VAT. Payment is taken by Stripe on its own pages; we never see your card. Sites added or archived during a period are pro-rated. We may change prices with at least thirty days' notice by email to your administrators; a change applies from your next renewal.

5. Non-payment and read-only

If a payment fails, we tell your administrators and Stripe retries. After fourteen days without payment, or when a trial ends without a plan, the organisation becomes read-only: every record stays readable and exportable, and the audit chain can still be verified, but nothing new can be recorded until a plan is chosen or the card is updated. We do not delete a record for non-payment.

6. Your data

The record belongs to your organisation. We process it only to provide the service and as the privacy notice describes. You can export it at any time. We hold it in the United Kingdom and Western Europe on Cloudflare's infrastructure. On cancellation the record stays readable and exportable for the retention period stated in the privacy notice.

7. Acceptable use

You must not use Site Sure to record anything you know to be false, to store material you have no right to store, or to attempt to defeat its access controls or audit chain. The chain is designed to make alteration visible, and we may suspend an account that tries.

8. Availability and support

We aim to keep Site Sure available at all times and to tell you in advance of planned maintenance. Support is by email at hello@residentsafe.co.uk on UK working days. We do not promise a specific availability level during the trial or on the standard subscription.

9. Liability

Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything that cannot be limited by law. Otherwise our total liability to your organisation in any twelve month period is limited to the subscription fees paid for that period, and we are not liable for loss of profit or for indirect loss. Site Sure is a record; the decisions you take on it remain yours.

10. Ending the agreement

You can cancel at any time in the billing portal; the subscription runs to the end of the period paid for. We may end the agreement on thirty days' notice, or immediately for a serious breach of section 7. Either way, the record stays readable and exportable as section 6 describes.

11. Changes and law

We may update these terms. The version an organisation accepted is recorded on its own audit chain, and a material change is notified to administrators by email before it applies. These terms are governed by the law of England and Wales and the courts of England and Wales have exclusive jurisdiction.
